Terms of use¶
The Terms of use module lets you import a PDF document and require its acceptance by selected user groups on their first connection to the Bastion user portal. An administrator uses it to enforce an IT charter, usage conditions or internal regulations, and to update or remove those documents afterwards.
List of terms¶
The main grid shows the registered terms:
| Column | Description |
|---|---|
| Name | Name of the document, preceded by a padlock icon. |
| Groups | Number of groups the document applies to. |
| Enabled | Whether users are asked to validate the document. |
Expanding a row details the PDF file attached and the selected groups, domain by domain. When every group of a domain is selected, they read Everybody - domain.
The toolbar carries the add button (tooltip New Terms of use), the Properties icon, the delete icon and a search field. The grid is paginated (15, 25 or 50 rows per page).
Add a terms-of-use document¶
Click +. The Add terms of use window opens.
| Field | Description |
|---|---|
| Name | Mandatory. Used as a reference in the console and must be unique — case is not significant. A whitespace-only value is rejected. |
| Description | Text shown to the user when the document is offered. Optional. |
| Terms of use file | Mandatory on create, optional on edit. Must be a PDF file: both the content type and the file signature are checked. Accents are stripped from the file name on import. |
| Enable the validation of terms of use | Checkbox. When checked, the user must read the document and tick a confirmation box on the first connection. |
| Groups | Two-column dual list preceded by a Domain drop-down. Pick the domain, then drag the relevant groups to the right-hand list. The document only applies to those groups; at least one group is mandatory. |
Click Validate to save.
Domains offered
The Domain drop-down lists every authentication domain and filters the group list accordingly. The search bar above the list filters by group name or by domain.
Name already used, file rejected
A name already carried by another document is rejected with the message A term of use with this name already exists. A file that is not a PDF is rejected the same way.
Edit a terms-of-use document¶
Select a row then click the Properties icon (or double-click the row). The Edit terms of use window is the same as for create, with an extra italic display of the currently stored PDF file name (hover to see it in full).
Forced re-acceptance
Replacing the PDF file clears the validations already recorded: every user concerned will have to accept the document again on their next connection. Changing the name, the description or the groups has no such effect.
Delete a terms-of-use document¶
Select one or several rows then click ×. A confirmation is requested. The PDF file is removed from the server unless it is still used by another document.
